Budget

Every company needs a travel budget to sustain its activities all year long. Planning a budget allows you to have a strategic look over costs and mange the results of your investment.

Here are several expenses that a travel budget must include:

* Transportation

* Insurances
* MICE (Meetings, Incentives, Conventions and Exhibitions)
* Additional services

There are rarely fixed margins for a travel budget due to fluctuations that every cost category incurs. These fluctuations make impossible to maintain a fixed price for a determined period of time as it is permanently negotiated.

We like to think that what we do is similar to stock trading: whether it’s about a flight ticket or a good hotel deal, planning and good reaction speed allows us to obtain the best prices through intelligent negotiation.

Internal and external affairs

Today, only 20% of the big companies in Romania have implemented a travel policy. Usually several persons, from different management levels, take the final decision for any acquisition.

The Purchasing Manager is in charge with the communication with travel services supplier and the final decision is taken either by the head quarter (who is abroad) or by the executive board. For smaller companies, a decision can be taken by one person only.

Policy and changes management

A travel policy implemented across the company it’s the internal initiative that has proven to be most successful in cutting cost and achieving goals.

The policy should contain at least the following elements:

* The requirements of the policy, including: how a purchase decision is made, which is the preferred supplier (direct or indirect), payment methods, how non-conformities are dealt with.

* A set of rules for each type of meeting, including support during the events, duration and costs per person
* Presentation of roles and responsibilities for the management.
